Through this Policy, we inform you about how we collect, use, transfer and protect your personal data.

We process such data in accordance with the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive No. 95/46/EC (“General Data Protection Regulation”, hereinafter “G.D.P.R.”) and with the relevant national legislation on the protection of personal data.

1. WHO ARE WE?

SAFETY ONE PRO S.R.L. (hereinafter the “Company” or “We”) is a family business, established in 2012, with its registered office in Constanța, Romania, specialized in supplying personal protective equipment, workwear and safety footwear, and technical equipment to individuals and companies in Romania and across Europe. The Company is the largest distributor of Portwest in Romania.

Our products range from specialized protection and industry-specific personal protective equipment to clothing and protective equipment for construction.

We offer a wide range of industry-compliant personal protective equipment (PPE), together with excellent support service. Thus, our product range includes specialized safety solutions for respiratory protection, head protection, eye protection, hearing protection, hand protection and chemical protection. Similarly, we provide a range of other products and services, including technical solutions for fall protection, liquid control, first aid, and demarcation and signage.

Our range of protective clothing and footwear is extremely varied and consists of products of the highest quality from renowned manufacturers on the relevant market: Portwest, Qualitex, Karlovsky, Velilla, Malfini, Base or Mendi.

In addition, we also offer customization services for workwear through various techniques, such as embroidery, screen printing or heat transfer, adapting to the unique requirements of our customers and always offering advantageous solutions.

2. HOW DO WE PROCESS YOUR PERSONAL DATA?

The Company, in its capacity as Controller, processes the personal data of data subjects (employees, representatives of individual/legal entity clients, contractual partners and collaborators, and the data of other natural persons who interact with the Company and/or are involved in contractual relations with it).

Personal data are:

  • processed lawfully, fairly and transparently in relation to the data subject;
  • collected for specified, explicit and legitimate purposes and are not further processed in a manner incompatible with those purposes;
  • adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed;
  • accurate and updated in due time;
  • kept in a form which permits identification of data subjects for a period that does not exceed the period necessary for fulfilling the purposes for which the data are processed;
  • processed in a manner that ensures appropriate security of the personal data, including protection against unauthorized or unlawful processing and against accidental loss, destruction or damage, by taking appropriate technical or organizational measures.

3. WHAT ARE THE TYPES OF PERSONAL DATA PROCESSED AND FOR WHAT PURPOSE ARE THEY PROCESSED?

For the purpose of completing and submitting the Contact Form (the “Contact” section) on the Company’s website www.safetyone.ro, we process the following types of personal data: surname, first name, E-mail address, telephone number, and any other data provided at the initiative of the data subject in the “Message” section.

The boxes “I am not a robot” and “I have read and agree to the Privacy Policy” are ticked and the “Send message” button is pressed.

The Company’s representatives may also be contacted directly — by accessing the toll-free telephone line or the E-mail address — indicated in the “Contact” section or on the main page of the website www.safetyone.ro.

For the purpose of completing and submitting the Product Order Form (the product is selected by accessing one of the sections “Clothing”, “Footwear”, “Personal protection”, “Technical”, “Own production”, “Outlet Discounted products”, “News”, the “Add to Cart”, “Checkout” buttons are pressed — an Account is created — the requested data are completed) on the Company’s website www.safetyone.ro, we process the following types of personal data: the type of client is selected/ticked (individual/legal entity), company data (company name, tax identification code, registration no., the Bank where the company has its account, IBAN code, county, city, address, postal code), contact data (surname, first name, telephone no., E-mail address).

By ticking specific boxes, there is the possibility for this order to be delivered to the billing address/to a new address, or for the purchased products to be customized.

For the purpose of completing and submitting the Form for sending the Product Catalogue (the “Catalogue” section - Protective equipment catalogue) on the Company’s website www.safetyone.ro, we process the following types of personal data: company name, surname, first name, telephone no., E-mail address, county, city, delivery address).

The boxes “I am not a robot” and “I have read and agree to the Privacy Policy” are ticked and the “Request Catalogue” button is pressed.

For the purpose of completing and submitting the Request Form for a personalized offer on the Company’s website www.safetyone.ro (the product desired to be purchased is selected – the “Request personalized offer” link is pressed), we process the following types of personal data: surname and first name of the contact person, E-mail address, telephone no., and any other data provided at the initiative of the data subject in the “Comments” section.

The box “I have read and agree to the Privacy Policy” is ticked and the “Send message” button is pressed.

For the purpose of completing and submitting the Form for adding a review regarding the product purchased from the Company’s website www.safetyone.ro (the product desired to be purchased is selected – the “Request personalized offer” link is pressed), we process the following types of personal data: surname and first name, one of the rating options granted is ticked, and any other data may be provided at the initiative of the data subject in the “Your opinion about the product” sub-section.

The box “I have read and agree to the Privacy Policy” is ticked and the “Submit review” button is pressed.

For the purpose of creating a Customer Account on the Company’s website www.safetyone.ro (the “Person” icon on the upper right side is pressed), the E-mail address is processed and a password is entered, after which the “Registration” button is pressed. Similarly, for logging into the account already created, the E-mail address and the chosen password are processed.

In the Blog section of the website www.safetyone.ro, the multiple fields of activity in which the marketed products are used are presented (including the latest news in this regard).

For the purpose of posting a review about the product offered for sale on the Company’s website www.safetyone.ro, a degree of satisfaction with the product is expressed through an evaluation in the form of a score from one star to five stars.

For the conclusion and performance of service provision and partnership/collaboration contracts, we mainly process the following types of personal data: surname, first name, identity card/passport series and number, gender, domicile/residence address, bank account number, E-mail address, telephone no.

For website visitors, we may collect data through cookies or other similar technologies, such as: IP address, internet browser, location, web pages accessed on our website, time spent on the website, internet network, device used. For more details in this regard, please consult the Cookies Policy.

We do not use your personal data to send you marketing communications, such as Newsletters, unless you expressly give your consent for such communications by ticking an agreement box in this regard. In this respect, we process only your E-mail and ensure that you have a simple option to change the E-mail address on which you receive the Newsletter or to unsubscribe at any time, respectively to withdraw your consent regarding the receipt of these types of communications.

For the purpose of managing statements of withdrawal from the contract — transmitted through the online withdrawal function “Withdraw from the contract here”, through the withdrawal form or through any other unequivocal statement — we process the following types of personal data: surname, first name, E-mail address, order number, the products concerned and, where applicable, the bank account — IBAN — indicated for reimbursement. The confirmation of receipt of the statement — including its content, the date and time of transmission — is sent to you by E-mail and is kept by the Company in order to prove compliance. The legal basis for the processing is the legal obligation incumbent upon us pursuant to G.E.O. no. 34/2014, as amended by G.E.O. no. 18/2026 — art. 6 para. (1) letter c) of the G.D.P.R.

For the purpose of our legitimate interest in limiting the damages generated by cash-on-delivery orders that are refused or not collected — round-trip transport costs borne by the Company — we keep an internal record of these situations, in which we process: surname, first name, contact details — E-mail address, telephone number —, delivery address, the number and date of the uncollected orders, as well as the transport costs generated. Inclusion in this record is carried out based on objective criteria — at least two cash-on-delivery parcels refused or not collected — and has as its sole consequence the suspension of the cash-on-delivery payment option for future orders, advance payment — bank card or payment order — remaining available; you are not refused the placing of orders, and this record is not transmitted to third parties. The data are kept for 2 years from the last recorded incident. The legal basis for the processing is the legitimate interest of the Company — art. 6 para. (1) letter f) of the G.D.P.R. You may object to this processing at any time, on grounds relating to your particular situation — art. 21 of the G.D.P.R. — in which case your situation will be re-analysed individually by a human operator; requests shall be sent to the E-mail address: dpo@safetyone.ro.

4. WHAT ARE THE LEGAL BASES ON WHICH THE PROCESSING OF PERSONAL DATA IS BASED?

Your personal data are processed for the purpose of:

  • concluding and performing various contracts;
  • for fulfilling the legal obligations incumbent upon us;
  • based on the consent requested and/or previously granted — for sending marketing communications, etc.;
  • for the purposes of the legitimate interests pursued by the Company — e.g. adopting protection and security measures for our employees, exercising legitimate rights and interests of the Company within contentious or non-contentious proceedings, managing the internal record of cash-on-delivery orders refused or not collected, etc.

5. FOR HOW LONG DO WE PROCESS YOUR PERSONAL DATA?

Personal data are stored for their processing for the period necessary to achieve the processing purposes mentioned in this Policy or for the period required by law — e.g. in matters of archiving, accounting, etc.

By way of example: statements of withdrawal from the contract and the related confirmations of receipt are kept for 3 years from settlement, in order to prove compliance; the internal record of cash-on-delivery orders refused or not collected is kept for 2 years from the last recorded incident.

6. TO WHOM DO WE TRANSMIT PERSONAL DATA?

We will not disclose or transfer to any third party any of the personal data collected from you or about you, except to:

  • Public authorities and institutions — when there is a legal obligation in this regard or for the purpose of a legitimate interest — defending the Company’s rights in contentious or non-contentious proceedings, etc.
  • The Company’s contractual partners or collaborators who provide us with web hosting, website development, website maintenance, online marketing and marketing communication services.
  • Courier companies through which the delivery and return of products are carried out — GLS Romania, Sameday — Delivery Solutions — and the online payment processor — mobilPay — NETOPIA Payments — exclusively the data necessary for delivery, respectively for payment processing.
  • Any third party — if you have given your express and specific consent for the respective situation and the respective data.

If the personal data processed by the Company are transferred by it directly or through its contractual partners/collaborators outside the European Economic Area, we assure you that such transfers take place in compliance with the G.D.P.R. — especially art. 46 of the G.D.P.R. —, the applicable legal provisions in the matter, based on appropriate safeguards — standard data protection clauses adopted by the Commission — and provided that enforceable rights and effective remedies are available to the data subjects.

7. WHAT PROTECTION MEASURES AND SAFEGUARDS DO WE TAKE?

The Company implements appropriate technical and organizational measures in order to ensure a high level of security and protection of personal data.

We use security methods and technologies, together with internal work policies and procedures, including control and audit procedures, to protect the personal data collected in accordance with the relevant legal provisions in force regarding the protection of personal data.

8. WHAT ARE YOUR RIGHTS AS A DATA SUBJECT?

Any data subject may exercise the following rights, as provided by the General Data Protection Regulation:

  • Right of access;
  • Right to rectification;
  • Right to erasure;
  • Right to restriction of processing;
  • Right to portability;
  • Right to object to processing;
  • Right not to be subject to a decision based solely on automated processing, including profiling;
  • Right to contact the National Supervisory Authority for Personal Data Processing — www.dataprotection.ro — and the courts of law.
